GENERAL INFO: The Withrow Renaissance Festival is operated by our community within and under the supervision of the American Crossbow Association.This year will mark the 47th annual ACA Crossbow Tournament, which is held near Withrow Springs State Park. Our first tournament and medieval festival was held in October 1953. This makes our renaissance festival the oldest medieval re-enactment festival in the United States. The 2000 festival is both a return to a tradition in Huntsville, Arkansas ("The Land of the Crossbow") and the creation of a fun, educational and enjoyable family event in Northwest Arkansas. The festival runs three days -- Friday, Saturday and Sunday, October 13th through the 15th. Friday is traditionally "Living History Day" at Withrow, when area schoolchildren will attend.
AUTHENTICITY: The theoretical year in our village will range from 500 to 1600. All participants -- including craft people and food vendors, whether they are demonstrating or not -- are required to be in costume in character at all times when in contact with the public. Items such as sunglasses, cigarettes, ice chests and modern clothing should be avoided. Patron costuming is warmly encouraged. Light to medium Fantasy is allowed -- NO "evil" costumes or themes are allowed. Please keep it covered or we WILL ask you to cover up! Every effort should be made to mask all modern implements such as trailers, propane tanks, vehicles, tools or other equipment not associated with a European renaissance village. Exceptions may be made by prior approval. Please do not hesitate to ask! Members of our staff have many years of combined experience in some of the most successful Renaissance Festivals in North America. We are only too happy to help you! INTERACTION: Patron/Participant interaction is highly encouraged. Vendors -- hawk your wares, loudly! Crafters, demonstrate your crafts. Players, improvise! Street "theater", jam sessions and "crying the times" (telling the hour, announcing the next scheduled event) are all encouraged. Keep it light, even humorous (but not insulting), and interact with our visitors as much as possible. Help us create the lively atmosphere of a medieval faire for all our patrons!
MERCHANDISE: It is recommended that all items sold at your booth be produced by you or your company. Arrangements to "wholesale" the work of others must be made by prior agreement with festival management.
FEES: $45.00 per booth or vendor space is required. In addition, a percentage of 15 percent of gross sales must be paid by each vendor no later than 8 p.m. on October 15th. This percentage can be reduced by 5% for crafts people and artisians who demonstrate their crafts during the show. VENDOR DEADLINE FOR APPLICATION IS SEPTEMBER FIRST, 2000.
SETUP: Vendors may begin setting up their booths on Thursday, October 12th. Please check in with festival personnel to establish your booth site when you arrive.
PETS: We respectfully ask that all pets be left at home. However, if you absolutely must bring your pet on a festival day, it must be leashed, quiet, and out of sight of the public.
ALCOHOL: The Withrow Renaissance Festival is a family event for all ages. Alcoholic beverages will not be sold or consumed during festival hours.
WEAPONS: All period weapons must be sheathed and peace-tied. No firearms, concealed or otherwise, are allowed.
PARKING: Vehicles shall be parked out of sight of the public. Most vendor parking will be near the festival grounds and easily accessible.
CAMPING: Campsites for tents and trailers are available in the State Park just across the War Eagle River within walking distance. Showers and restrooms are available in these camp areas. Vendors may sleep in their booth if they feel it necessary, or may camp at the far end of the festival site. Call the Withrow Springs State Park at (501) 559-2593 for availability and fees. Motels and other trailer/camping facilities are also located within five miles of the festival site. In addition, the town of Eureka Springs -- located 18 miles north of Withrow -- has numerous hotels/motels available.
INSURANCE: For professional vendors, liability insurance is required. Please submit a copy of your certificate and policy number. If you have none, please advise when you apply.
